Project Administrator

Owner’s Project Management firm seeking a highly organized, and detail-oriented Project Administrator to join our team on a part-time basis for 15-20 hours per week. In this role, you will provide administrative support to the project management team in various areas, including project management, scheduling, procurement, and accounting. The ideal candidate will work independently, learn quickly, have strong computer skills, excellent communication and organizational skills, and the ability to work in a fast-paced and dynamic environment.

Responsibilities Include:

  • Assist in project management, project scheduling, and budgeting.
  • Maintain accurate project records and files, and update databases and spreadsheets as needed.
  • Assist in the preparation and distribution of construction documentation.
  • Manage and maintain the project management team's calendar and schedule appointments and meetings as needed.
  • Prepare and distribute weekly reports on project progress and budget status.
  • Consult with subcontractors, and clients, ensuring effective communication and timely delivery of information.

The following skills are desired by applicants:

  • High school diploma or equivalent, enrolled in Construction Management, Engineering, or
    Architecture program preferred, with a minimum of 2 years of administrative experience in the
    construction industry.
  • Proficiency in Microsoft Office Suite, including Excel and Word.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to multitask and prioritize work effectively in a fast-paced environment.
  • Detail-oriented, with strong analytical and critical thinking skills.
  • Knowledge of project management and accounting principles.
  • Familiarity with construction documentation and processes preferred but not required.

Administrative Assistant

Owner’s Project Management firm seeking a highly organized, and detail-oriented Administrative Assistant to join our team. In this role, you will provide administrative support to the project management team in various areas, including project management, scheduling, procurement, and accounting. The ideal candidate will work independently, learn quickly, have strong computer skills, excellent communication and organizational skills, and the ability to work in a fast-paced and dynamic environment.

Responsibilities Include:

  • Provide primary Executive and Administrative support to the company President and Office Manager.
  • Perform complex calendar management – both internal and external coordination & scheduling with all levels of the company
  • Prepare, review, and manage correspondence, memoranda, presentations, and various staff communications.
  • Independently researches, collects, and prepares information for use in discussions/meetings of executive staff and external individuals.
  • Prepares presentation materials for meetings.
  • Project Management responsibilities – responsible for ad-hoc projects and special projects as needed.
  • Analyzes problems, determines approach, compiles, and analyzes data, and prepares reports/recommendations.
  • Contacts company personnel at all organizational levels to gather information and prepare reports.
  • Work collaboratively with other team members.

The following requirements and skills are desired by applicants:

  • High School Diploma required; bachelor’s degree preferred.
  • 5+ years of experience as administrative assistant
  • Must be proficient in all Microsoft Office 365 Products and Applications: including Word, Power Point, Excel, Teams, Outlook and others. Must be willing to learn new applications as needed.
  • Must be a hard worker, able to work in a fast-paced environment with a positive attitude.
  • Accuracy and efficiency are extremely important in this position.
  • Must be able to work without direction, anticipate the needs of the president, office manager, and project managers, proactively solve problems, and otherwise contribute to the success of the organization.
  • Knowledge of the A/E/C industry is helpful particularly when it comes to understanding terminology.
